We often need to send one email to multiple recipients. It can be a promotional email to all the existing customers or a work mail to all the colleagues. There can be other reasons to email multiple recipients based on some criteria. Whatever the reason, one can easily forget to send an important email to a specific recipient, which can be noticed hours later when there’s no further sense in sending the email. Just imagine you enter the group’s name, and the mail is sent to everyone. No regrets later! 

You can create multiple groups, one for the clients, one for all the colleagues, one for all working in your department, and so on. This will save a lot of time, as you don’t need to recall the email IDs when sending the email, but it can also optimize the whole workflow. Today, I will talk about how you can create an email group using Gmail. This can help you save time and streamline your work in the office and personal communications, maybe while planning a trip or so.

So, without further delay, let’s start creating an email group in Gmail.

Step 1: Open Google Contacts using the link and log in with your Gmail ID.

Step 2: Once logged in, you will find a similar interface. Click on the ‘+’ icon corresponding to ‘Labels.’

Step 3: Now, enter the label’s name. Use the name you want to give the group and click ‘Save.’

Step 4: Once the label is created, click on ‘Create contact’ and, hence, click on ‘Create multiple contacts’.

Step 5: You are ready if your created label has already been selected. If you find ‘No Label’ beside ‘Create Multiple Contacts,’ click on it and select the label where you want to include the email IDs. Then, click on ‘Apply’.

I have created the label ‘HR Department.’ Select the label that you have made.

Step 6: Now type in the email IDs, separated by commas (,). You can also add non-Gmail email IDs too.

When you enter all the email IDs, click Create.’

Well, the group is now created, and the stage is set to send one email to multiple recipients within a second. So, what else is left?

Step 1: Open Gmail and click ‘Compose’ to write a new email. In the ‘To’ section, where you usually have to enter the recipient’s email address, type in the name of the label, the HR Department.

Step 2: When you select the label’s name, all the email addresses in that label will be automatically populated.

You also have the option to remove a specific email ID or add a new email ID if you want.

Modifying the Gmail group recipients

It is also possible to make subtle changes to the group, such as removing or adding new email IDs.

To do that, open Google Contacts and select the label, as shown below.

Now, click on ‘Create contact’, and hence click on ‘Create multiple contacts’.

Hence, add the email IDs, just like you did last time.

If you want to remove specific email IDs, select the IDs, click on the triple-dot icon, and click on “Remove from label.”

Similarly, you can create multiple such groups, use them for your needs, and send emails effortlessly.
